A lot of WiFi problems start with something surprisingly simple. The wireless equipment is in the wrong place.
I see this often because routers and access points tend to get installed wherever they're convenient instead of wherever they'll provide the best coverage. The internet connection enters the building in one room, so the router gets placed there. There's an empty shelf in a closet, so the access point ends up there. Nobody wants to see the equipment, so it gets tucked behind a shelf, under a desk, inside a cabinet, or in some other spot where it's out of the way.
Then everybody wonders why the WiFi works great in one room and barely works two rooms away.
WiFi is radio. That sounds obvious, but thinking about it that way helps explain why placement matters so much. Your access point is sending a wireless signal through the building, and everything between you and that access point can affect the connection. Walls matter. Floors matter. Furniture matters. Appliances matter. Even the shape of the building matters.
That means a good wireless connection isn't just about buying a more expensive router.
If your access point is sitting at one end of a building and most of the people using WiFi are at the other end, you're starting with a disadvantage. The signal has farther to travel and may have more walls and other obstacles in the way. Moving the access point closer to the area you're actually trying to cover can improve the connection considerably.
Height can matter too. An access point sitting on the floor behind a desk isn't usually the best place for it. Putting wireless equipment in a more open position gives the signal a better opportunity to reach the devices around it.
The same goes for hiding it.
I understand why people do it. Routers aren't decorations. Nobody designs an office and says the centerpiece of the room should be a box with antennas and blinking lights. But putting wireless equipment inside a cabinet or stuffing it behind other objects can work against what you're trying to accomplish.
Sometimes the most convenient place for the equipment is simply not the best place for WiFi.
Another mistake is assuming that one wireless device should cover an entire building just because the box says it has impressive range. Real buildings aren't open fields. There are walls, doors, bathrooms, kitchens, stairwells, furniture, and plenty of other things between the access point and the device you're holding.
The construction of the building can make a big difference as well.
A wireless signal traveling through one interior wall may still be strong. Ask that same signal to travel through several walls and across a large building, and the experience can be completely different. Older buildings can present their own challenges depending on how they're built, and even relatively small spaces can have areas where the signal behaves differently than you'd expect.
That's why I don't like judging a WiFi setup based only on square footage.
Two businesses with roughly the same amount of space can need very different wireless setups. One might have an open floor plan where a well placed access point can cover most of the space effectively. The other might have several offices, thick walls, storage rooms, and a layout that makes coverage much more difficult.
Where people use WiFi matters more than simply asking how big the building is.
Think about the devices that need the connection too. Phones and laptops move around. Employees may spend most of the day in a conference room that's far from the router. A waiting area may need reliable wireless service even though it's on the opposite side of the building from where the internet service enters.
Those are the kinds of details that should influence where wireless equipment goes.
There's also an important difference between having a WiFi signal and having good WiFi.
Your phone might show that it's connected while the connection still feels slow or unreliable. A device hanging onto a weak signal can technically remain connected even when the experience isn't very good. That's why simply walking around and checking whether the WiFi icon disappears doesn't tell the entire story.
If a particular room consistently has problems, pay attention to where that room is in relation to the access point. Count how many walls are between them. Look at what else is around the equipment. Consider whether the router is buried in a cabinet or sitting at the far end of the building.
Before replacing anything, try to understand the physical layout.
Sometimes improving WiFi means moving the existing equipment. Sometimes it means adding another access point so one device isn't being asked to cover an area that's simply too large or too difficult for it. The right answer depends on the space.
What I don't recommend is buying the newest router you can find and assuming that will automatically solve the problem.
Newer equipment can absolutely be an improvement, but even excellent WiFi equipment can perform poorly if it's installed in a bad location. If you replace the router and put the new one in exactly the same closet behind exactly the same obstacles, you may still have exactly the same frustrating dead spot.
Good wireless coverage starts with understanding where the signal needs to go.
For a small office, that might mean thinking about where employees spend most of their time. At home, it might mean looking at where you work, stream television, or use devices most often. The goal isn't necessarily to put the access point in the prettiest location. It's to put it somewhere that makes sense for the area you're trying to cover.
One of the easiest WiFi troubleshooting steps is simply to look at the room and ask whether the wireless equipment is located where you would put it if coverage were the only concern.
If the answer is no, placement is worth investigating before you start changing settings or buying replacement equipment.
WiFi can get complicated, especially when you're dealing with larger spaces, multiple access points, neighboring wireless networks, and a growing number of connected devices. But the basic idea stays the same. The wireless signal has to reach the people and devices that need it, and where the access point is installed has a major effect on how well that happens.
If your WiFi is strong in one part of the building and frustrating everywhere else, don't assume you immediately need a new router. The problem may be where the equipment is sitting.
